Notes for Parents/Guardians

Ovington Cricket Club is committed to providing a safe and enjoyable environment in which children,

young people and adults can play and enjoy cricket. The Club will make all efforts to ensure that your

child and young person is protected at all times and will do so by putting in place and maintaining ECB

safe hands and safeguarding policies and other appropriate procedures.

A copy of the Club’s safeguarding policy and other relevant information is available from the Club’s

website or the Child Welfare Officer.

Club coaches and volunteers

All Club coaches and other officials act in a voluntary capacity to support the Club. Club coaches are

appropriately qualified and have completed a DBS check.

All other Club members who have regular and unsupervised contact with children and young people also

complete DBS checks. All other members of the club will be asked to complete a self-declaration form as

part of the new club’s membership form.

Junior Club Rules/Guidelines

As a member of the Club all junior members are expected to treat each other in a courteous and

respectful manner and play cricket within the laws and spirit of the game. We are lucky enough to be an

exciting, growing, and respected club with lots of members and supporters. However, it is worth

reminding new and old members, both on the pitch and on the side the Respect Values of Ovington

Junior Cricket:

– Respect Coaches

– Respect Teammates

– Respect Umpires/Match Officials

– Respect Opponents

– Respect the Cricket Environment/Kit

Any member not meeting these standards will be provided feedback and should their behaviour not

improve, they may not be selected for matches or be asked to not attend training. The Club has a zero-

tolerance policy and will not tolerate physical or verbal abuse of others. Any incidents of this nature will

be treated very seriously and could result in expulsion from the Club.

Other key requirements include:

– Members must not use language or gestures that people may find offensive, show dissent, or

argue with match officials once a decision has been made.

– Cricket whites and trainers or cricket shoes should be worn for junior matches – but not

compulsory for U9 or U11 incrediball. There is usually some spare clothing available via the club,

so please contact the lead coaches in the first instance if anything is required. Each team will also

have access to cricket equipment for each match for players to use.

– All players are reminded not to bring expensive items with them to matches or practice.

– All players under the age of 18 years playing “hardball” cricket must wear an abdominal

protector and helmet when batting and when standing up to the stumps when wicket keeping.

– Junior club members are not permitted to consume alcohol or drugs when taking part in

activities associated with Ovington Cricket Club. The pavilion is also a non-smoking area.

– A copy of the Club’s policies and codes are available on our website.

Child Welfare Officer

The club has appointed a child welfare officer for junior members. The officer is:

The club welfare officer will:

– Act as a first point of contact for reporting of child welfare and protection concerns.

– Ensure that the club’s safeguarding and safe hands policies and procedures are in place.

– Treat all child welfare concerns confidentially.

– As required, liaise with the appropriate authorities where a safeguarding incident occurs.

Please note that it is not the role of Ovington Cricket Club and its representatives to investigate

allegations of child abuse or to judge whether it is taking place. When an allegation has been made this

will be passed on to the appropriate authorities.

Expectation and Conduct of Parents/Guardians

For the following age groups, parent/guardian expectations with regards to leaving members at

training/matches is as follows:

– U9/U11 teams: Members must have parent/guardian with them at training/matches. If a parent

plans to leave, then they must seek the permission or the coach and ensure contact details are

available.

– U13/U15 teams: Members must confirm in writing parent/guardian permission that the player

can go to and from training on their own (a permission slip is available from the junior club

secretary or parents can email their consent to the Club secretary).

Parents are asked to help the club foster a safe and enjoyable atmosphere by:

– Encouraging fair play and respect for other members of the team and opposition.

– Using correct and encouraging language in support of club members and opposition teams.

– Understanding the laws of cricket and helping your child to understand them.

– Promoting enjoyment by recognising that effort is as important as good performance.

– Recognising that all team members have a part to play in the team’s performance.

Changing Facilities

On occasions where children play in a senior team, efforts will be made to segregate changing facilities

based on age and gender. However, there may occasions where only be one changing area is available

and shared with all other players. I will ensure my child arrives at the match/ground in clothes suitable

for playing cricket (e.g., whites) and the changing facilities will be vacated by senior players so

that my child can privately fit and remove protective equipment when necessary.

welfare officer or any committee member.

Data Protection

The Club will use the information provided on this Membership Form (together with other information it

obtains about the player) to administer his/her cricketing activity at the Club and in any activities in which

he/she participates through the Club and to care for and supervise activities in which he/she is involved.

Full details are set out in our Privacy Notice included with this Application Form, please keep a copy in a

safe place and allow your child to read a copy. It contains details on:

  •  Who collects personal information about you;
  •  Which information we collect and how and why we do so;
  •  How we use the information and who we may share it with;
  •  Where we may hold your personal information;
  •  How long we keep your information;
  •  Your rights to correct and access your information and to ask for it to be erased;
  •  Your right, in certain circumstances, to object to us processing your information;
  •  Details of where you can find further information about some of the matters listed above; and
  •  How to complain if we get things wrong and cannot resolve them for you.

We are sending you this notice to make sure we comply with legislation governing data protection,

known as the UK General Data Protection Regulation or ‘UK GDPR’ and the Data Protection Act 2018.

In some cases, this may require the Club to disclose the information to County Boards, Leagues and to

the England and Wales Cricket Board. In the event of a medical issue or child protection issue arising, the

Club may disclose certain information to doctors or other medical specialists and/or to police, children’s

social care, the Courts and/or probation and, potentially to legal and other advisers involved in an

investigation.

As the person completing this form, you must ensure that each person whose information you include

in this form knows what will happen to their information and how it may be disclosed.
